Making Changes to Your Benefits

For most benefits, you may make changes during the year only when you experience a qualifying event. Any change you make must be consistent with your qualifying event. If you experience a qualifying event, you must make benefits changes within 31 days of the qualifying event and provide the required documentation supporting the event. To make changes to your benefits, click here to go to My Total Access.

For medical and dental changes, a qualifying event allows you to change your benefit coverage level. For example, you may change from Employee Only to Family medical coverage during the year. However, you cannot switch between plans, such as HMO1 to HMO2.

Qualifying events include but are not limited to:

  • Birth/adoption(or placement for adoption) of a child*
  • Marriage/divorce*
  • Change in Medicaid/Medicare eligibility*
  • Death of spouse or dependent*
  • Change in your dependent child's status (e.g., loss/gain of full-time student status)*
  • Eligible dependent child loses or acquires medical or dental coverage*
  • Change in spouse's employment status resulting in a loss/gain of other group health coverage
  • Change in status from full-time to regular part-time or vice versa
  • Change in day care provider (Dependent Care FSA only)*

In addition to the qualifying events listed above:

  • Dependent Care FSA: When your child ceases to be an eligible dependent (e.g., turns age 13) you may make changes to your Dependent Care FSA. If you experience a change in your care provider, you may change your enrollment or contributions in the Dependent Care FSA.
  • Healthcare FSA: you may only enroll or increase your contributions with qualifying events.

*Documentation to support the qualifying event must be submitted to the Benefits Service Center via fax at (540) 982-3493 or interoffice mail before the change will become effective. To see examples of required documentation, click here.
